What a proper invoice must show
Whether you sell in India or abroad, an invoice is a legal record of a sale. Tax authorities, auditors and your customer’s accounts team all expect the same core details, and this maker includes every one of them:
- Who: the seller’s and buyer’s legal names, addresses and tax registration numbers (GSTIN, VAT number or tax ID).
- Which and when: a unique, sequential invoice number, the invoice date and the payment due date.
- What: a clear description of each item with quantity, unit, price and any discount — plus the HSN or SAC code for GST.
- Tax: the taxable value, the tax rate and the tax amount, shown separately for each rate.
- Total: the amount payable in figures and in words, and the currency.
- How to pay: bank or UPI details and your payment terms.
GST invoices: CGST, SGST or IGST?
GST depends on the place of supply. If it is in the same state as your registration, the tax is split equally into CGST and SGST (or UTGST in Chandigarh, Ladakh, Lakshadweep, Andaman & Nicobar and Dadra & Nagar Haveli and Daman & Diu). If it is in another state, or outside India, the whole tax is IGST. The maker works this out from your state and the customer’s state — enter a valid GSTIN and the state is filled in automatically.
Tax invoice, bill of supply or proforma?
- Tax Invoice — issued by GST-registered businesses for taxable sales.
- Bill of Supply — for exempt goods or services, or by composition dealers, who cannot charge GST. Choose “No tax”.
- Proforma Invoice — a quotation in invoice form, sent before the sale. It is not a tax document.
- Export / Commercial Invoice — for overseas customers, usually in their currency.
How to create an invoice
- Choose the tax type and currency, and check the invoice number and dates.
- Enter your business details once — they are remembered in your browser. Add your logo if you like.
- Enter the customer’s name, address and GSTIN or tax ID.
- Add each item with quantity, rate, discount and tax rate. Totals update as you type.
- Add bank details and terms, then click Download PDF / Print.
Invoice maker FAQ
Is this invoice maker really free?+
Yes. There is no sign-up, no watermark and no limit on the number of invoices. Fill in the form, then download the invoice as a PDF or print it.
Where is my data stored?+
Only in your own browser. The invoice is built and printed on your device and nothing is sent to our servers. Your details are saved locally so the next invoice is quicker; use “Clear all” to remove them.
How do I download the invoice as a PDF?+
Click “Download PDF / Print” and choose “Save as PDF” as the printer in the dialog that opens. The suggested file name is the invoice number and customer name.
Does it calculate CGST, SGST and IGST?+
Yes. Choose India GST, enter your state and the customer’s state (or GSTIN), and the invoice applies CGST + SGST for a sale within your state, CGST + UTGST in union territories without a legislature, and IGST for a sale to another state or outside India.
Can I make invoices for customers outside India?+
Yes. Pick the currency (USD, EUR, GBP, AED and more), and choose VAT / Sales tax or No tax. Amounts in words follow the currency, and Indian rupee amounts use lakh and crore.
What must a GST tax invoice contain?+
Under Rule 46 of the CGST Rules: the supplier’s name, address and GSTIN; a unique serial number of up to 16 characters; the date; the recipient’s name, address and GSTIN (if registered); HSN or SAC codes; description, quantity and unit; taxable value; the rate and amount of each tax; the place of supply with state; whether tax is payable on reverse charge; and a signature. This form includes all of these.
When do I need accounting software instead?+
When you raise invoices regularly, need stock to update with each sale, want customer outstanding and ledgers, or must file GSTR-1 and GSTR-3B. Software such as IntelligentGST keeps customers and items as masters, so each invoice takes seconds and flows straight into your books and returns.
