Who we are

IntelligentGST is made by Seabit Infosolutions Private Limited, 2nd Floor, 34, Ganesh Chandra Avenue, Kolkata 700013, West Bengal, India ("Seabit", "we", "us"). Seabit decides how and why the personal data described here is used. Our contact details are at the end of this policy.

What we collect

When you download IntelligentGST

Before the download starts we ask for your name, mobile number and email address, and optionally your business name and city. We also record the date and time, which file you downloaded and your IP address. This is how we know who is trying the software, so we can help you install and set it up.

When you contact us

If you call, email or message us, we keep the details you give us (such as your name, number, email and what you asked) so we can reply and follow up.

When you register or use the desktop software

When you activate a licence, the software sends us your licence key, the software version, the registration details you enter (customer name, business name, email, mobile, address, city, PIN code, state and dealer) and an identifier of the computer it is installed on. Each time the software checks a licence or looks for an update, it sends the licence key and version, and we record the time and IP address of the request. We use this to activate and verify licences, enforce the number of computers a licence allows, and offer updates covered by your AMC.

Your accounting data (company books, vouchers, parties, stock and so on) stays in your own IntelligentGST database. It is not sent to us by the licence check or the update check.

Customer and partner portal accounts

If you have a portal account we store your name, email, mobile number, business details, your licences and AMC renewals, and the support tickets you raise. Passwords are stored only as a secure one-way hash; we cannot see them.

Technical data

Like every website, our servers record basic request data: IP address, date and time, the page requested, and your browser type. We use it to keep the service running and secure, for example to block spam on the download form.

What stays in your browser

The download form remembers the details you typed, so you do not have to type them again next time.
The Free Invoice Maker keeps your invoice in your browser only. It is not sent to our servers.
Your light or dark theme choice.

You can clear these at any time by clearing your browser’s site data. We do not use analytics, advertising or tracking cookies. The only cookies we set are login cookies for the portal and for our own staff.

How we use your data

To give you the software, activate and verify your licence, and deliver updates.
To contact you about your download, trial, licence, AMC renewal or support request.
To pay our partners the commission on licences they sell.
To prevent fraud, misuse of licence keys and spam.
To meet our legal, tax and accounting obligations.

We process your data with your consent, which you give by submitting a form or registering the software, or where we need it to provide something you asked for or to comply with the law.

Who we share it with

Authorised IntelligentGST partners (dealers): a partner can see the customers and licences they sold, so they can support you.
Service providers who host our servers and databases, only to run our services for us.
Government or law-enforcement authorities, when the law requires it.

We do not sell or rent your personal data, and we do not share it for advertising.

How long we keep it

We keep download and enquiry details while we may still help you with the software, or until you ask us to delete them. Licence, renewal and invoice records are kept for as long as your licence is in use and for the period Indian tax and company law requires. Server logs are kept only as long as needed for security.

Security

Our services use encrypted HTTPS connections. Passwords are hashed, access to customer data is limited to staff and partners who need it, and download links are personal and expire. No system is completely secure; if a breach affects your data, we will inform you and the authorities as the law requires.

Your rights

Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, you can:

ask what personal data we hold about you and how we use it;
ask us to correct or complete it;
ask us to delete it, unless we must keep it by law (for example, invoice records);
withdraw your consent, for example to stop us contacting you about the software;
nominate another person to exercise these rights on your behalf;
raise a complaint with us, and if we do not resolve it, with the Data Protection Board of India.

To use any of these rights, email sales@intelligentgst.com from the email address you gave us, or call us. We will reply within 30 days.

Children

IntelligentGST is business software. We do not knowingly collect personal data from anyone under 18.

Changes to this policy

If we change this policy, we will update it on this page and change the date at the top. For important changes we will also tell registered customers by email or in the portal.

Online purchases and Razorpay

When you buy online, we collect your name, email, mobile number, optional business name and GSTIN, billing state, selected plan and acceptance of the purchase terms. For a new portal account, your chosen password is stored as a one-way hash. Existing customers supply their portal password to verify account access; we do not replace it during checkout.

Razorpay processes your payment. We send the order amount, currency and order reference to Razorpay; checkout also provides your name, email and phone number for payment processing. We receive payment references and payment status so we can verify capture, record the sale and assign your software licence. We do not receive or store card numbers, CVVs, UPI PINs or bank login credentials. Razorpay handles payment data under its own privacy policy at https://razorpay.com/privacy/.

A secure checkout cookie identifies your order in the same browser for up to seven days. Your browser also stores the order reference so you can return to check payment status. The cookie is used to protect access to your confirmation and licence key. Successful orders are retained with our licence, payment and statutory business records. New accounts are created after verified payment; entering an email address at checkout does not by itself mark that email as verified.
